Privacy Policy

This policy explains how Team Botezelli, operated by Jose Diego Botezelli PhD Institute Inc. (“we”, “us”), handles personal information when you visit www.drbotezelli.com, book an appointment, use the booking assistant, or work with us as a coaching client. We collect what we need to run the practice and nothing more, and we do not sell it.

What we collect, and why

When you book an appointment. The booking form on /book/ asks for your name, email address and phone number, the time zone you choose, and the answers to a few intake questions for the appointment type you select. We use them to hold the time, send the confirmation email and any follow-up emails about your appointment, and prepare for it. Appointments for current clients ask you to confirm your email with a six-digit code that we send to that address. Every appointment, in person or online, is created as an event in our Google Workspace calendar. That event holds your name, email, phone and the answers you gave when booking, including anything you wrote about your health, and Google sends the calendar invitation. Video appointments use Google Meet.

When you ask Helen. Ask Helen is a booking assistant on /book/. Before it answers, it asks for your name and email. Your name, your email and the conversation are sent to our booking engine, which sends the conversation, including that name and email, to our AI provider, Anthropic, to generate the reply; Anthropic processes it under its own policies. Helen can check, move or cancel an appointment only after you confirm your email with a six-digit code. We keep conversations only as long as we need them to run the service; Team Botezelli may read them to check that the assistant answers correctly. Do not share health details with Helen; those belong in your intake form and your appointment.

When you work with us. Program clients share training, nutrition, health history and lifestyle information so that we can coach safely. Your program, your weekly reports and your messages with us live in MyPTHub, the coaching platform we use, and in our client records system.

When you contact us. If you email [email protected] or message us on WhatsApp, we keep the correspondence for as long as we are working together and as our record-keeping obligations require.

Where your booking information goes

Bookings made on this website are handled by our own booking engine at book.drbotezelli.com, which stores the appointment, sends the appointment emails and records the booking in our client records system. Along with the details you type, the booking request carries your IP address, browser type and language to the booking engine. Appointment emails — confirmations, codes and follow-ups — are sent on our behalf by Resend, with MailChannels as a fallback; both process your email address on servers outside Canada. The website itself does not keep a copy of your booking.

Payments

Program fees and standalone assessments are paid through MyPTHub or Stripe, or another method we agree with you in writing. MyPTHub and Stripe each process the payment details under their own privacy terms. We never see or store full payment card numbers.

Services built into the pages

• Hosting. The website is served by Cloudflare, which processes the technical data needed to deliver a page, such as your IP address and browser type, under its own privacy terms.
• Fonts. The Raleway and Barlow typefaces are served from our own site; no font requests go to third parties.
• Map. The contact page embeds a Google Map of the studio. Loading it sends a request to Google, which may set its own cookies in your browser.
• Shop images. The PVL shop page loads product images from Shopify's content network, which sees your IP address like any image host.
• Links to other services. Buttons and links to WhatsApp, Instagram, Google Scholar, Google Reviews, MyPTHub and Stripe take you to those services, each with its own policy. Our articles link to the studies they cite on PubMed, and to our own free guides at guides.drbotezelli.com. The Shop pages link to Amazon and PVL; both are affiliate links, as those pages disclose: as an Amazon Associate we earn from qualifying purchases, and we earn a commission on PVL orders made through our links or with our code. Neither changes your price.

Storage in your browser

We do not use advertising cookies or tracking pixels, and this website runs no analytics today. The site stores three small items in your own browser. Two of them hold the name and email you typed, and are sent back to our booking engine only with your next booking or message to Helen:

• a flag that remembers you have seen the opening animation, so it does not play again (kept until you clear your browser data);
• a short-lived client pass on /book/, after you confirm your email, so the calendar stays open while you choose a time (cleared when you close the tab);
• the name and email you give Helen, and a short-lived ticket after you confirm your email with her (cleared when you close the tab).

If we add analytics in future, we will update this page first.

How we use your information

To answer your questions, schedule and deliver coaching, send the program materials you asked for, and meet our record-keeping and legal obligations. We do not use your information for advertising and we do not share it with advertisers.

Who we share it with

Only the service providers named on this page, each for the purpose described; where the law requires it; or with your explicit consent. We do not sell or rent personal information to anyone. Some of these providers (Anthropic, Google, Stripe, Cloudflare, MyPTHub, Resend, MailChannels, Shopify) process data on servers outside Canada, including the United States.

Your rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA), you may ask to see or correct your information, and to have it deleted where we are not required to keep it. Email [email protected]; we will answer within thirty days, as the law requires.

Security and retention

We protect your information with reasonable safeguards and limit access to the people who need it to deliver your coaching. We keep it only as long as the purpose it was collected for, or the law, requires; after that we delete or anonymize it, except records we must keep (for example payment records).

Children

Our programs are designed for adults (18+). If you are under 18, ask a parent or guardian to contact us before booking.

Changes

We update this policy when the practice or the website changes. The date at the top is the date of the most recent change.
